Teaching and Research Staff Time Recording

All operations related to teaching register, as well as requests for absences and the processing of holidays, time-off and leaves of absence, are carried out in the Teaching and Research Staff module of the USC Time Recording Application (TRA)

In the case of the teaching and research staff, in addition to the role of professor, the application adds specific features for the deans of the centres and directors of the departments, so that they can consult the information of the teaching staff that teach subjects in their centre or that belong to the department. In addition to the consultation for information, the application allows requests for the Teaching and Research Staff holidays, time off and leave of absence to be processed.

The USC Customer Service Centre will answer questions about the use of the application, which can be undertaken by filling out the incident form or by calling extension 55555. The Management will answer any questions regarding the procedure or interpretation of the regulations governing time recording and the granting of holidays, time off and leaves of absence at the mailbox xerente [at] usc.gal (xerente[at]usc[dot]gal) and on the telephone extension 11307.

Where can I see the classes I have to teach?

You will find the list of the classes assigned to you in the timetable, on the home page of the time recording application for the Teaching and Research Staff, as registered by the centre responsible for each subject. The application displays the classes from the instant of the consultation going backwards. If you want to view classes from previous days or times, click on the button with the upward pointing arrow icon, located in the upper right hand corner of the main body of the page.

How is a class recorded?

Simply click on the information tab of that class. It is not necessary to mark the beginning and the end, it is enough to record just once that the class is going to be taught.

How do I cancel the registration of a class?

On the home page of the application, or by clicking on the Record menu option, locate the class for which you want to delete the registration and consult its details. Click on the Delete button to cancel the recording of that class.

If I forgot to mark a class, what should I do?

On the home page of the application, search on the list of classes, by scrolling down the list that appears on the page, find the session you want to record as taught and click on the Pending button. Select the reason for the deferred recording and click on the Record button.

If I want to record a class that is not listed, what do I have to do?

Click on the Recording option in the main menu of the application and then on the Edit button, shown as a button with a pencil icon in the upper right hand corner of the list.

In the form, you must fill in the data that allow you to identify the subject and select the reason, for which this addition is recorded. Additional information may be requested depending on the reason you choose.

How is the recording carried out if a class is shared by two teachers?

The main aim of the system for recording teaching activity is to have a means of accrediting that the teaching included in the POD and timetables is actually given. For this reason, in the exceptional cases in which more than one teacher is present in the same class, it is sufficient for one of them to sign in order to record the class. In the particular case that the teacher of the subject and a hired pre-doctoral teacher are present in the classroom, it could be the former that simply signs; if, on the other hand, only the hired pre-doctoral teacher is present, then they would sign.

From which devices can I use the application?

From any device. The pages of the application are adapted to the use of mobile device screens, so that it is easy to interact with the forms from mobiles, tablets and other personal devices. The application records the IP address from which the recording is made.

How can I check the recording of classes?

In the Information section, you can see the list of classes, as well as a summary of the monthly activity. These options are explained in the Reports and Warnings section of this Q&A list.

Holidays, time off and leave of absence

All requests for holidays, time off and leave of absence of the Teaching and Research Staff will be processed in this application, both those that have their processing delegated to centres and departments as well as those that must be authorised by the corresponding Vice-Chancellor’s Office.

What requests can I process in the application?

Requests for time off and leaves of absence recognised in the Teaching and Research Staff regulations governing these procedures can be processed in the application. In particular, requests for time off and leave of absence for less than 7 days, requests for time off and leave of absence for more than 7 days and requests for change of holidays for periods outside the month of August.

For each of these groups of requests, the application includes the subtypes recognised in the regulations and adapts the request procedure to each case, depending on whether their processing is delegated to centres and departments or must be authorised by the Vice-Chancellors Office. It also adapts the approval flow to situations where the applicant is a dean or director.

How do I indicate the teacher that will replace me?

In the case of situations where a substitute teacher needs to be appointed, the application will ask for this information on the forms where the request is made. You may indicate one or more substitute teachers and the classes in which each of these persons replaces the applicant. These classes will appear in the list of classes to be recorded by the substitutes; just like the classes they were already assigned. Each substitute person will be required to sign in the authorisation process, as explained below.

After saving the application, how is it processed?

The processing depends on the type of request and, in the case of time off and leaves of absence, on the length of the period during which the time off or leave of absence is requested to be taken.

In the case of requests for time off or  leaves of absence of less than 7 days, as long as the applicant is not a dean or director, the document must be signed electronically by each of the substitute professors, deans of the centres affected by the request and the director of the department to which the applicant belongs. All persons involved will receive the relevant notices by e-mail and will be able to sign in the USC pending signatures folder with USC user and Administration and Services Staffsword. It is not necessary for the applicant to send any form or to notify the persons involved. The applicant will receive a notice by e-mail when the processing is completed, or in the event that any of the persons involved decide not to sign.

In the case of requests for time off and leaves of absence of more than seven days or changes in holidays, the procedure is modified so that the final resolution is made by the vice-chancellor with competence in the matter. Likewise, in case the applicants are the deans and directors themselves, the flow changes to take into account this circumstance and so that they do not authorise themselves.

Where can I check the requests I have made?

By clicking on the Requests option in the main menu of the application.

How do I know the status of a request?

In the list of requests, click on the details icon of the row corresponding to the request, located in the last column of the table.

In the form you can see the complete information of the request and the processing status. In particular, by clicking on the name of the status, you can see the signature flow and know which people have signed and which are yet to sign.

Reports and notices

 

Does the application notify me if I did not mark a class?

Furthermore, the application sends a daily summary of the classes that were not recorded. To avoid an excessive number of notices, the application waits 2 days before sending the notice.

Where can I view my list of classes and activity record?

All time recording information is available in the Information option of the main menu. In the side menu, in the reports section, you can consult the list of classes and the monthly summary of the teacher's teaching activity.

Class registration

I am the dean of a centre. Where can I see the record of the activity of the teachers who teach subjects at my centre?

Click on the Information option in the main menu of the application. In the side menu, Centre Reports section, you can see the list of professors teaching at the centre, the list of subjects by syllabus, the monthly summary by centre and the monthly summary by syllabus. Each of these lists allows you to consult the markings by teacher and by subject and the monthly summaries by teacher and by curriculum and subject, respectively.

You must sign the petition in the USC pending signatures folder using your username and Administration and Services Staffsword. With this act you report favourably on the petition. In case you decide not to report favourably, reject the signature and indicate the reason.

In addition to the notices of the pending signatures folder for documents pending signature, you will periodically receive e-mail notices of pending requests to be processed.

Click on the Information option in the main menu of the application. In the side menu, Department Reports section, you can see the list of the department’s teaching staff, the monthly summary of the department and the monthly summary by subject area.
